HERE’S WHAT YOU’LL GET TO DO

The Administrative Assistant position is generally varied, including administrative duties, and project or personnel-oriented tasks requiring the use of sound judgment and discretion, independent thinking, and resolution of complex situations/problems.

  • Process, track, and reconcile all federal, state, and local corporate tax payments (both ACH and checks).

  • Prepare annual reports.

  • Maintain Officer and Directors lists.

  • Process, mail, document, and track tax returns prepared by tax department to ensure timely filing. This may include having to go to the post office and / or sending overnight packages as needed.

  • Scan tax documents into electronic storage on a weekly basis. Maintaining paper records onsite as well as offsite through a 3 rd party provider.

  • Sort and deliver incoming mail to appropriate tax personnel.

  • Contact tax authorities by letter or phone, as needed.

  • Prepare purchase card expense reports for multiple personnel.

  • Prepare / create purchase requisitions, purchase orders, and good receipts.

  • Code, process, and track invoices / check requests in PO system.

  • Receive guests, answer, and direct phone calls and emails to appropriate personnel or take messages.

  • Manage calendars, schedule conference calls and meeting rooms, and send invitations / reminders using Microsoft (MS) Outlook. Be able to adjust or prioritize schedules based on last minute changes.

  • Schedule / organize meetings, arrange catering, and make travel arrangements (domestic and international).

  • Prepare correspondence and documents using MS Word.

  • Maintain office supplies inventory.

  • Perform other clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.

  • Organize and maintain files and records.

  • Use appropriate judgment and discretion when dealing with sensitive and/or confidential matters and information.

  • Perform other administrative duties and special projects as assigned.

HERE’S WHAT WE’RE LOOKING FOR

  • Minimum high school diploma with knowledge of Microsoft (MS) Outlook, Word, Excel, and PowerPoint required.

  • Minimum of three to five years of administrative experience in a corporate environment.

  • Duties require excellent verbal and written communication skills including proper use of grammar and spelling.

  • Although not required, preference will be given to those with SAP experience to create purchase requisitions and purchase orders.

  • Requires strong attention to detail, proactive follow-up, excellent organizational skills, and discretion with confidential information.

  • Demonstrated ability to keep sensitive matters confidential and understands the need for such confidentiality.

  • Ability to manage workload in a time sensitive work environment.

  • Strong interpersonal, time-management, and problem-solving skills.

  • Ability to change focus of work seamlessly, without loss of efficiency, and adapt to unexpected requests.

  • Strong sense of urgency, with outstanding prioritization skills and professionalism.

  • Flexible to work overtime if required (not routine).
