Reporting to the Director of Health & Safety, this position provides administrative assistance and support to the Director and the Regional Health and Safety Team with the effective implementation and maintenance of the health and safety program and systems as well as Fleet Coordination for the Light Duty Fleet.
What you'll get to do:
Maintains safety metrics and administers Safety Incident Tracking database.
Performs data entry to ensure quality on third party tracking systems such as PICS.
Communicate with Workers Compensation Board in respective provinces on specific cases and coordinates with third party claims management.
Prepare detailed statistical trend analysis and develop reports and presentation including the preparation of graphs and charts.
Maintain the Health and Safety portion of the intranet site.
Develop simple tutorials and training documents. Develop forms to facilitate safety related tasks, audits, and inspections.
Document management – ensure plant safety manuals and safe work procedure documentation is kept current.
Develop and maintain record keeping systems including significant safety related activities at locations.
Fleet Coordination – respond to employee inquiries, track fines and violations, troubleshoot in the Fleet system, review and distribute reports, pay invoices, order and disperse Fleet cards, send out new vehicle order forms and respond to inquiries. Collect fees for new orders, assist with disposals.
Plan and organize company functions such as Heidelberg Safety Week.
Maintain appointment schedules, coordinate travel arrangements, and submit payables.
Essential Experience and Skills:
Certificate or Diploma in Office Administration
3 to 5 years’ experience in a supporting administrative role
Demonstrated ability to communicate effectively within all organizational levels
High attention to detail and ability to work with tight deadlines
Must be self-motivated, fast-paced, able to work independently and multi-task
Intermediate to advanced Microsoft Office
Preferred Experience and Skills:
Preference will be given to candidates with a background and education health and safety
Experience in an administrative role in the manufacturing or construction industry
